Internal/System Reminders

    Aside from the automated emails that can be set to fire off, is there a way to set up specific reminders per renter to use internally. For example, a system reminder to send a Welcome/Important information message a week before check-in (but not actually automate the sending of it) or a reminder to refund a damage deposit xx number of days after checkout? Tools to help with managing and tracking the overall process, a list of to-do’s that can be checked off along the way, or do most track this externally (with Evernote for example)? Thanks…

    @Jim-Knape - YES!

    You can use the custom stay emails to send yourself an email!

    I use Evernote, and a custom email address to receive certain types of things (like payment notifications, etc.). Then those emails are automatically re-directed to my Evernote account and my INBOX in Evernote is my TODO list. 🙂 Not everything makes it there, but it’s a big start, and I can always add items manually - even from my phone.

    and then of course, once it’s in Evernote, that’s my digital filing system to keep my world as paperless as possible.

    Hi Jenny, thanks for your input and suggestions. There are also non-email type items that I want to track, such as whether or not the guest as sent us a signed copy of the Rental Agreement or not. These are really process management things that I would normally track with an excel spreadsheet and/or my calendar (Outlook or Fantastical) but I think it would be useful to have these capabilities within the system if they don’t exist.

    @Jim-Knape - I don’t think the ToDo list exists in MyVR at this point. It would make a good feature request, but you’d also want to submit some specifics on how it would work - triggers etc. Right now I think MyVR focuses on tracking things inside their system, but you’re asking to track activities that occur outside (manual items) such as a paper rental agreement.

    Each owner or PM would probably have different repeating “to do” items for each reservation (I know mine differ from what others do) so this would become a very customized/user defined module. How do you do it now manually?

    Perhaps in the longer term, MyVR can integrate with a Planner or ToDo app for some of these checklist type items? That would make a great integration! 🙂

    Yes! In addition to using custom stay emails, as @Jenny-Oest helpfully mentioned, you can create all kinds of internal notification emails under Setup > Notifications > Notification Rules. Just click “New Rule” to create a new notification.

    When you create a new rule, you get to set the rule name, the recipients (email or SMS message), the events that trigger the notification (e.g. new inquiry, payment overdue), and restrictions (e.g. only for a certain property, only on Mondays).

    You can also track things using tags on inquiries. You can tag an inquiry as “Completed Phone Screening” for example. After you tag an inquiry, it can be searched for by that tag.

    If you are accepting bookings through MyVR’s checkout page, guests will be asked to “sign” the rental agreement via a checkbox. MyVR will track if your guest as “signed” the agreement.

    Note: Clicking on “rental contract” will display a pdf of your rental contract to the renter.

    You can view whether or not a renter has agreed to the rental agreement by viewing the “Reservation Summary” pane of a reservation. You can also manually record a renter’s agreement to the rental agreement here by clicking on the pencil icon.

    You can upload your rental contract to be used as part of the rental agreement by navigating to Setup > Booking & Payments > Rental Contracts.
