Cleaning & Maintenance Work Orders

I know that MyVR is working on a module for this, but in the meantime, how do other owners handle the tracking and communication of work orders with their cleaning and maintenance staff?

I have limited needs for my one property, and so I may not be a huge help to you, @Jenny-Oest, but I do the following:
- add my cleaner as a cc on all my automated booking confirmation emails
- set up automated stay emails specifically to my cleaner a few days before check-in to remind her
- set up automated stay emails specifically to my cleaner at check-out to remind her
- feed my calendar to my cleaner via ical (she views it in a google calendar) so she can keep tabs on my reservations
I looked at Properly.com, but it’s not quite a fit for me yet. I know they’re developing that product rapidly, so perhaps it’ll be a helpful tool to add to the mix at some point.
I have someone who helps with maintenance requests, but I just send them by email since I have one property and so few maintenance requests.
Hopefully others with multiple properties have better ideas for you.

I do the same automated email for booking confirmations as well as the ical feed. But my cleaners don’t update from email quickly, so I’ve started using text messages for my daily check-in and check-out notifications. Same with maintenance. I send them a morning text every day to tell them what needs to happen in each unit.
I also looked (albeit briefly) at the Properly app, as well as one called UpKeep. I still have a few more to investigate. QuickTask Mobile is next.

Just export your reservations to a spreadsheet. Remove everything except guest last name and check in checkou dates. Save the sheet as pdf or send as is to cleaning folks!
